Introduction
For registrations, such as enrollment or membership, you may have multiple documents that you want to present as a single form. Enter the Form Builder!
Note: If you've already created a Form Builder for a PDF, that's OK, but each Form Builder starts fresh.
Build a Form for your Collection
1. Click on Form Builder in the top right
2. You'll see all the form fields split across multiple sections by document
3. Organize your fields into logical sections
Initially your sections are organized by your documents, which will likely be big groups of fields. You ideally want 7 +/- 2 total fields, ie 5 - 9, on any given page. Anything more than that will require a lot of scrolling and make it harder for your end user to complete.
In this context of a client on boarding workflow, I will likely want three sections:
- Client Information
- Full Name, Company Name, Address, etc.
- NDA Signature
- Signature
- Signature Date
- SOW
- Signature
- Signature Date
4. Grouped fields become deduped
Any grouped fields between documents will be deduped, ie only display once. You may move a field into any section and will populate any document where it is located.
5. Add any help text or descriptions
In many cases it is useful to add descriptions to each section to help your user. Also you can insert a description in between any field to provide more granular instructions.
Sending your Collection Form
You have two options:
1. Form Builder Only
2. Document & Form Builder
Option 1 is great if you want your end user to only see the form. However, if your documents contain a lot of legalese, the form will obscure the agreement until after they sign, which may produce risks in enforceability. You may always copy any relevant text as a description into each section or above each field to overcome such issues.
Option 2 is preferred when your document contains a lot of legalese, such as an NDA. In this viewing mode, your end user gets the best of both worlds. They get the ease of completing many documents in a single form as well as the ability to review and sign each document.
